Our hotel, with utmost respect for the protection of its customer's personal data, as well as the personal data of the visitors and users of its website, fully implements the provisions of the current General Data Protection Regulation (GDPR) [Regulation (EU) 2016/679 of the European Parliament and of the Council] and Law 4624/2019, as well as any relevant national and community legislation that is currently in force and will be in force in the future.

In this context, this Privacy Policy applies, in which we inform you which personal data, (that you disclose to us) we collect, process and store, the reasons we take these actions, that your provision of such data means that you consent to the above, as well as how your data is protected and your rights regarding their collection and processing.

We collect, process and retain your data, as mentioned above, in accordance with the national and community legislation in force and your consent, which you can withdraw at any time.

1. WHICH PERSONAL DATA WE COLLECT AND HOW:

Name, gender, address, telephone number, email, identity or passport details, nationality, tax information, payment details (indicatively: account number or credit/debit card details), dates of stay, automated information through the use of cookies, when you visit this website, as well as when you use our services (booking through our website), such as: login date and time, geographical location, browser type, IP address, etc.) or by filling out a form through physical presence in our hotel or by e-mail or by phone, as well as when you contact us by phone, e-mail or through the contact form on our website or through social media, or in any other way you disclose your data to us.

We also collect data on family members and/or companions and/or friends, who will stay at our hotel, images and video data through security cameras and wifi connection.

The presentation, sending by e-mail, notification by phone, by filling in a form with physical presence, through social media or by correspondence of your personal data, implies that you consent to such data to be used by our hotel and its staff for the purposes mentioned in this Privacy Policy.

If you submit personal data about other people to us (e.g. if you book a room for another person), by this submission you declare that you have the authority to do so and allow us to use the data in accordance with this Privacy Policy.

 

2. WHY DO WE COLLECT YOUR DATA

Every transaction with our hotel requires the collection of personal data. It is necessary to know these for the following reasons:

- primarily for your best possible service, i. e. in order to properly book the room you wish, for the intended period of time, and, in general, in order to optimise the services that we provide to you,

-  to inform you about your booking or, in case of any modification or questions, to be able to contact you,

- for accounting, billing and auditing purposes, as well as to detect or prevent any fraud incidents.

- to prevent and detect any punishable acts either against you or our company and to comply with our legal obligations to the competent authorities

- for statistical and marketing analysis, customer surveys, development of our services, as well as for dealing with disputed and/or claims.

- for any service requested by you after your reservation in our hotel,

- to improve our website and offer you personalised options.

 

3. TRANSMISSION OF PERSONAL DATA TO THIRD PARTIES

Our hotel will not make any illegal or illicit use of your personal data, whether you use our website or are our visitors/customers.

However, it legally discloses these data to the below mentioned third parties with your consent, provided that the data you have disclosed to us are not subjected to any type of illegal processing:

- Public, judicial, police authorities, etc.for the compliance of our hotel with legal requirements and for law enforcement.

- Banking institutions, credit card companies, for the convenience and proper execution of your payments, as well as for the security of the transactions between us.

- Social media (such as, Facebook,Twitter, Instagram, Youtube, etc.) in accordance with our Privacy Policy.

- Our partners (indicatively: marketing services partners, travel agencies, etc.).

- Our legal counsel for the proper execution of our contract.

 

4. PERSONAL DATA SECURITY

We receive all necessary measures for the security of your personal data that we possess. Those in printed form are kept in a locked archive or an other safe place, within our hotel, with strictly limited access. Only the controller and our authorized personnel will have access to them. Our facilities are protected by CCTV cameras.

The data you provide to us are protected by SSL technology (Secure Socket Layer). The digital files are encoded, encrypted or protected by security codes, in a network hard disk drive, which keeps backups on a regular basis.

 

5. RETENTION OF PERSONAL DATA

The personal data you have disclosed to us in the aforementioned ways are kept for as long as required, so that we can offer you our services properly, as well as for as long as it is necessary for the fulfillment of all the purposes mentioned above.

If necessary, for the compliance of our company to the obligations, which derive from the law, either for the resolution of disputes or for the prevention and detention of punishable acts, our company is entitled to retain your personal data, even if it is no longer necessary for the provision of our services. We are legally obliged to retain basic information of our customers (for a certain period of time, after they ceased to be our customers), for tax purposes.

In order to determine how long we will keep your personal data, their quantity, nature (if they fall under a specific category of data), exposure to potential risk from illegal use, purposes of collection and processing and whether it is possible to achieve these purposes by other means, as well as the applicable legal obligations, will be taken into account

In particular, we retain the part of those personal data that is necessary for our compliance with our legal obligations and the satisfaction of your bookings for ten (10) years after the termination of the provision of services in our hotel or otherwise for as long as specified by other legislation.

If we receive any request from you about the deletion of your personal data in accordance with your rights listed below, we will safely delete them as soon as possible. Also, over the course of time we consider whether we can keep them anonymous, so that they can no longer be associated with you and/or identify you. In that case, we may use them without further notice.

 

6. YOUR RIGHTS.

Regarding the collection, processing and storage of your data by our hotel, you have the following rights:

  • - The right to have access at any time in the personal data, which you have disclosed to us, according to the above.
  • The right to be informed about how we collect, process, retain and store your personal data from our hotel.
  • The right to ask us to correct the data that our company keeps about you and the right to unilaterally modify these data.
  • The right to limit the processing of your personal data or to request us to delete your personal data, which our company retains. In this case, our company is obliged to delete your data, without undue delay, and will do so if one of the reasons listed below applies: 

a) if these data are no longer necessary in relation to the purposes for which they were collected by our company or otherwise processed,

b) If you revoked your consent about the collection, processing and storage of your personal data by our hotel, 

c) If you object to the processing of your personal data and there are no compelling legal grounds for their processing.

d) If the data were unlawfully processed.

e) If their deletion constitutes a legal obligation under the national and community law in force

  • The right to stop receiving promotional messages from our company, either through your personal account, or through the unsubscribe link, which can be found in every relevant email you receive from our hotel.
  • The right of portability, i.e. to receive your personal data free of charge, in a structured, commonly used and machine-readable format, as well as the right to transmit these data to another controller.
  • The right to object, in case you find out that your personal data are used for illegal purposes or without your consent.

If you exercise any of your above mentioned rights, we will take any possible measures in order to satisfy your request within thirty (30) working days after receiving it.

In case you live in a member state of the European Union or you are a citizen of a member state of the European Union and believe that the protection of your personal data is affected, you can contact your local authority, which is responsible for the personal data protection, provided that you have tried to contact our hotel, in the first place. 8. COVID -19

Especially in the context of compliance with the health protocols for the protection against  COVID-19, the record of all persons who stayed in our accommodation is kept in our hotel mandatory by law.This includes the following data: name, nationality, date of arrival and departure, contact details (telephone number, e-mail, address). It is necessary for us to keep this record, in order to be able to contact the close contacts of any COVID-19 case, which may be subsequently identified.

 

9.APPLICABLE LAW
For any disputes that may arise from the application and / or interpretation of these terms and provided that the attempt to compromise is fruitless, the courts of the region and Naxos Court of First Instance are solely responsible and the Greek law is applicable.

 

The terms of this Privacy Policy may be amended. Please consult, at your own responsibility, regularly this Privacy Policy, which is posted on our hotel's website.
